Who are these guidelines for?

As a speaker or Oral Presenter, you will need to:

Make sure you give Consent

Upon abstract submission and Registration, it is clear that you have given access for us to use a recording of your presentation and to take photos during your presentation. If you have any obligations with that, you can request us to not to film.

Submit short biography and photograph (headshot) for the interactive program and virtual platform

Submitting a headshot photo (300x300 Pixel Size) and short biography (in 100 words) while uploading the abstract is mandatory, however, it will allow the Congress attendees to get acquainted with your professional background before attending your session. The upload of this information is completed online or through email.

PowerPoint Presentation Guidelines

  1. The first slide of your presentation must be your name and presentation title.
  2. The second slide should be the disclosure slide. You can simply list the conflicts on the second slide or write “Nothing to Disclose”. Note: You need to address the disclosure at the beginning of your presentation for at least 30 seconds to allow enough time for the audience to review and digest the information.
  3. We recommend that you label all slides that include unpublished data with a title: “UNPUBLISHED DATA – DO NOT COPY OR DISTRIBUTE”.
  4. If you include video clips with PowerPoint; the videos must be embedded as an MP4.

 Presentation Slides Upload

  1. Please bring your slides to the Speakers’ Ready Room on a USB stick. The Speakers’ Ready Room will be clearly signposted at the Congress.
  2. You are asked to only use the Congress computers in the session halls for presentation purposes. The Congress will not be able to support lecture slides presented on personal computers.
  3. Please note that your slides must be finalized and ready?on?the day of your session.
  4. Please upload your presentation slides in the Speakers’ Ready Room as soon as you arrive at the venue in the morning and at least an hour before the start of the session.
  5. Please note that the congress computers in the session Halls are supplied with Office 2019 (at least) and the native ratio of the projection on the screens in the Halls is 16:9
  6. If you include video clips in your PowerPoint presentation, be sure to test it with the technician in the Speakers’ Ready Room at least 1 hour before the start of the session or as soon as you arrive at the venue in the morning. Please check with the technician if the sound and picture from the video are transmitted well and repeat the test again during the break before your session in the session hall to avoid technical issues.

Important Note for Macintosh Users

To use MAC presentations on a PC compatible computer, please note that you need to prepare it according to the instructions below, before taking it to the speaker room:

  1. Convert it to PowerPoint or PDF.
  2. Use a common font, such as Arial, Times New Roman, Verdana etc. (Special characters might be changed to a default font on a PowerPoint-based PC).
  3. Insert the images as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PowerPoint based PC).
  4. You may use your own Macintosh laptop computer. In such a case you need to bring the VGA socket for external signal and come to check it first in the Speakers' Ready Room as soon as you arrive and later on in the session hall where your lecture is taking place during the coffee or lunch break prior to your session, at least 30 minutes before the start of the session. ?

During your Presentation

The session hall will be staffed with an AV technician/onsite coordinator who will assist in starting each presentation. From the lectern, you will be able to remote control your presentation using a computer mouse or up/down/right/left keys on a keyboard.

  1. Please stick carefully to your allotted time. Chairpersons have strict instructions to interrupt if you exceed the allocated time slot. A digital timer will be visible to assist with time keeping.
  2. Please leave enough time for question and a discussion at the end of your talk.
  3. Maintain eye contact with the audience while presenting slides.
  4. We encourage more audience interaction where this is appropriate.
